Built a connected digital ecosystem for luxury real estate
Problem
Premier Estate Properties was managing leads, listings, marketing activity, agent workflows, and reporting across a growing number of disconnected systems.
Lead inquiries were coming from more than 20 different sources, including property platforms, advertising channels, company websites, and affiliate networks. Without a centralized workflow, it was difficult to maintain consistent follow-up and give management a complete view of lead activity.
Challenge
The challenge extended far beyond implementing a CRM.
Each source delivered different information and required different handling. Property data also needed to remain synchronized between MLS systems, the website, SharePoint, internal reporting, and agent-facing tools.
At the same time, the solution had to support both day-to-day operational work and public-facing customer experiences.
Our Solution
Maximize Solutions built a centralized CRM and data infrastructure integrated with Office 365 to manage clients, leads, agent activity, and operational workflows.
More than 20 inbound sources were consolidated into a single tracked pipeline, giving the company visibility into every stage from incoming inquiry to administrative routing, agent contact, outcome reporting, and conversion.
Automated time-based rules identify stale leads and send accountability workflows to the responsible agents while keeping administrators informed.
MLS integrations synchronize and cross-reference listing data across the website, internal systems, SharePoint, and end-of-month reporting.
We also developed a broader suite of agent and customer-facing products, including centralized eBlast tools, newsletter infrastructure, advanced listing-photo management, Open House tools with visitor lead capture, and a buyer-focused website.
The result is a connected ecosystem where sales, property data, marketing, and reporting operate as parts of the same workflow.
